Taking orders in Instagram DMs, without losing messages
On most selling pages the path is always the same: a "how much?" comment, then a DM, then several messages back and forth about colour, size and address. The path is not the problem — the problem is that it is manual, and nights and busy spells are exactly where orders stall. This page shows how to automate that same path step by step, and end with every order in one spreadsheet.
The three places buyers drop out
Between the comment and the DM
Someone writes "how much?" under a post and waits. If no answer comes within a few minutes they usually open the next page. This gap loses the most people and is also the easiest thing to automate: a comment can be turned into a DM with a private reply, instantly.
Halfway through the details
Colour, size, quantity, city, address, postcode — asked one at a time across separate messages, they cost you time and tire the buyer out. One continuous form asking them in sequence makes the same conversation shorter and more complete.
After the order is placed
If the details live only in the DM, every order means scrolling back. A month later, finding one customer's address means searching dozens of conversations. An Excel export removes this step entirely.
Five steps, from question to recorded order
1. Move the comment into a DM
Build an automatic reply for the words people actually write under your posts — "price", "in stock?", "sizes". When someone comments one, they get a private message immediately and the conversation opens in DMs. The part rarely mentioned: Instagram allows exactly one private reply per comment, so any further messages must wait until the person replies. Admino handles that itself and holds the remainder until they do.
Comment automation2. Answer the price question once, for good
The most repeated questions — price, stock, delivery time, postage — are the same ones every day. Write the answers once and attach them to keywords. From then on, two in the morning is answered as fast as two in the afternoon.
Automatic DM replies3. Show the product, don't describe it
A showcase inside the DM sends the product itself — photo, price, button — instead of a description. For a page with several similar products, that is the difference between "which one do you mean?" and "I'll take this one".
Showcase in DMs4. Collect the details with a form
A form inside the DM asks the questions in sequence and records the answers: name, phone, colour, size, quantity, address. The buyer never leaves Instagram and you never miss a field. If they abandon it midway, what was filled in is still saved — partial beats nothing, because the phone number is usually asked first.
DM form builder5. Pull the orders out
Every form response, and every phone number and email exchanged in your DMs, downloads as one Excel file. That file is what feeds dispatch, bookkeeping, or an SMS to past customers.
Unified inboxWhat breaks automatic order-taking
Too few keywords
People add "price" and not "how much", "cost", "price?" or the colloquial spellings. The best source for that list is your own page's comments, not guesswork. Read your recent posts once and add exactly what people wrote.
A form that is too long
Every extra question costs buyers. Ask what dispatch needs, not what would be nice to know. Save the survey for after the sale.
Replies that sound like a robot
An automatic reply does not have to hide what it is, but it should sound like your page. Stiff, formal wording on a page that always writes casually does more damage than the delay did.
No way through to a person
Always leave a route to you. A question the automation cannot answer should reach a human, not a closed loop.
Before you start
Any service using Instagram's official messaging API needs two things: a professional (business or creator) account, and message access enabled for connected tools under Instagram's message settings. Personal accounts cannot use it at all, and that is the single most common reason a connection does not work. Connecting happens on Instagram's own login page, and your password is never needed anywhere.
About taking orders in DMs
Does payment happen inside the DM?
No. The order is recorded in the DM — details, address, phone — and payment happens outside Instagram, exactly as you do it now. What is automated is collecting the order, not settling it.
What if someone abandons the form?
Whatever was filled in is saved and appears in the export. Because the phone number is usually among the first questions, an unfinished form is still a lead you can follow up.
Do automatic comment replies get a page restricted?
Private replies to comments are the capability Instagram provides for exactly this, over the official path. What creates risk is auto-follow and auto-like, not answering. Nobody can promise absolute safety either; Instagram is the final arbiter.
How many forms can I have?
You can build a separate form per product or per campaign, each with its own start command. Responses are viewable and exportable per form.
Who owns the customer data?
You do. Every form response and every extracted phone number and email downloads as Excel at any time.
Build the same path on your own page
Automatic comment and DM replies, an order form inside the DM, and an Excel export — over an official connection, with no password.
