Setting Up AI Auto-Reply for Instagram DMs: Full Guide and Common Mistakes
Anyone who has run an Instagram shop page knows this scene. It is one in the morning and someone has replied to today’s story with nothing but “110”. The next person asks “how many days to Tabriz?” and the one after that “do you have size 38?”. None of these is an unusual message, but none of them contains the exact word you built an auto-reply for. So these customers wait until morning, and by morning some of them are no longer customers.
Keyword auto-replies are built for the questions you already know will be asked. Admino’s “AI replies” is for everything else: the messages that pass every one of your rules. Here the AI writes the sentence itself, but only from what you wrote about your shop, the products in your catalogue, the captions you published, and the story or post the customer is replying to.
This guide tries to be both precise and honest. It says exactly what this feature does and does not do, where you are better off keeping a keyword rule, walks through setup step by step, and gives real numbers on cost, limits and common mistakes rather than general promises.
What AI auto-reply is, and what it is not
When people hear “AI for Instagram” many picture an open chatbot that talks about anything and promises anything. Admino’s AI replies are deliberately not built that way. Their job is to give a short answer to a specific customer question from specific information about your shop. If the answer is not in that information, it is not supposed to make one up.
Answers are built from these sources:
- The “about your shop” text you write: what you sell, where you are, how you ship.
- The “products and prices” list: one product per line, with the same code you put on stories and posts.
- Shop knowledge: question-and-answer pairs and product, service, how-to and shop-policy cards, written by you or by the page analysis.
- What is read from the page itself: the bio, your Admino catalogue products, and the captions of a few recent posts.
- The story or post the customer replied to or commented under, when it can be read.
And it does not:
- Publish anything under your post on your behalf. If you switch it on for comments, it sends the commenter a private DM.
- Replace your rules. As long as a rule is going to answer, the AI stays quiet.
- Guess a price you have not written anywhere, or offer a discount or promise you have not made.
- Send files, voice notes, product cards or buttons — its answer is text. For those you already have saved replies and rules.
The order things run in: who answers first
The single most important thing to understand about this feature is its order. When a message reaches your page, Admino looks at it in this order:
- In-DM forms: if the customer is in the middle of a form, or sent a form’s start command, the form continues.
- Keyword rules: if the message matches a rule and that rule is going to send something, it is sent.
- The welcome message: for someone messaging your page for the first time.
- The AI: only if none of the above is going to send anything.
There is one subtle point in that order: the test is “sending”, not “matching”. If a rule matches but is not going to send anything this time — say a rule that answers each person only once and has already answered this customer, or a welcome message that is not sent to an existing customer — the AI gets its turn. That way no customer is left unanswered because of a rule that was only half in play.
AI or keyword rules? Which for what
If you remember only one sentence from this guide, make it this one: the two are not competitors. A keyword reply is exact, predictable and free, but only answers what you anticipated. The AI covers the unanticipated messages, but writes its own sentence and uses credits for every answer. Any serious shop page needs both.
What is better kept as a keyword rule
- Any answer that must be word for word what you wrote: payment terms, legal text, a card number, an exact address.
- Answers that include a photo, voice note, video, product card or buttons.
- Campaigns: “comment WORKSHOP and we’ll send you the link”. You chose the word and the answer is fixed.
- Anywhere you want a follow condition, or to answer only people who do not follow you yet.
- Starting in-DM forms to take orders or collect customer details.
Where AI genuinely earns its place
- Story replies made of a single code or word: “110”, “how much is this?”, “in stock?”.
- Questions asked ten different ways: “when will it arrive?”, “how long is shipping?”, “will I have it by Saturday?”.
- Combined questions — “if I buy two, is shipping free?” — that no single rule answers.
- Hours when nobody is at the phone, provided the answer is in your shop knowledge.
- Comments that are real questions but do not contain your campaign word.
The recommended pattern: layers
For most pages this combination works well: a few keyword rules for the most frequent and most sensitive questions (the price of your best seller, how to order, active campaigns), a welcome message for first-time messagers, and the AI as the last layer for everything that passes those. Look through the AI’s activity log every few weeks; a question that keeps coming back is a good candidate for becoming a fixed rule.
Before you start: four things to have ready
- A business or creator account connected to Admino through Instagram’s official login. Admino never asks for your password; you approve access on Instagram’s own page.
- The “Allow access to messages” setting in Instagram. In the Instagram app, go to Settings and activity, then Messages and story replies, then Message requests and Connected tools, and switch it on. If it is off, messages never reach any tool at all.
- An active subscription. Every new account gets 30 days free with all features after verifying its phone number; after that, the monthly or annual plan.
- AI credits. Every plan includes 20,000 a month, which is more than enough to start. The cost details are further down.

Step-by-step setup
Open “AI replies” from the panel menu. The first time, you see a three-step guide: introduce your shop, try it, switch it on. Each of these can be changed later from the “Knowledge” and “Settings” tabs, so you do not need to get everything perfect the first time.
Step one: introduce your shop
Admino has prepared a draft from what it read on your page. Your job is to correct and complete it. This step has three parts:
- About your shop: the two or three sentences you would tell a new salesperson on their first day. For example: “Velvet and cotton fabric shop in Tehran, sold by the metre and wholesale. Shipping to every city by express post.”
- Products and prices: one product per line, with the same code you put on stories and posts. For example “Code 110 - leopard velvet - 127 thousand toman per metre”. A customer who sends just “110” is answered from that line.
- Common customer questions: the first four suggestions (shipping, payment, address, opening hours) are only a starting point; reword them, remove them or add your own.
Filling in any one of these is enough to continue, but the more complete they are the more accurate the answers. A simple rule: if you do not want the AI to give an answer, do not write it here; if you do want it to, make sure you write it.
Step two: try it
Here you ask questions like a customer and see exactly the answer that would be sent in a DM. Nothing is sent to anyone and no credits are used; you get 5 free tries a day. Under each answer it shows which of your entries it drew on, so if an answer looks odd you know which text to fix.
You can pretend the customer replied to one of your stories or posts and see what the AI says after reading that image. A few questions worth trying:
- A bare product code, as when a customer replies to a story with just a number.
- A shipping question about a specific city.
- A question whose answer you deliberately left out, to see what it does when it does not know.
- A combined question, such as the price of two products together.
If an answer is wrong, go back to step one and add or correct that information. This loop takes a few minutes and has more effect than any other setting.
Step three: switch it on
In the last step you make three decisions:
- Where to answer: DMs, comments, or both. For comments a private DM always goes to the commenter, and nothing is published under the post.
- When to answer: “always”, or “only when I’m away”. In the second case you set your working hours and the AI stays quiet during them so you can reply yourself.
- What to do when it does not know: send a short line saying the message was seen, or stay silent. There is more on this choice below.
Once it is on, the page becomes three tabs: “Activity” for answers and unanswered questions, “Knowledge” for writing and editing your shop knowledge, and “Settings” for the three decisions above and the tone of the answers. A status bar at the top says whether the AI is on, how many answers it gave today and how many credits are left.
Shop knowledge: what decides the quality of the answers
No setting replaces good knowledge. Every time a message arrives, the AI finds the most relevant entries of your shop knowledge for that message and answers only from them. So you can write as much as you need; each workspace holds up to 200 knowledge entries, and you need not worry about older ones being pushed out. The same knowledge is also used by Hooshino, Admino’s AI assistant.
Five kinds of knowledge card
- Question: a question customers ask and your answer. The simplest and most used kind.
- Product: name, code, price and notes. The price is free text, so you write it the way you always do: “877 per metre”, “250 to 300 thousand”.
- Service or plan: for a course, appointment, consultation or subscription; price, duration (say “8 sessions”) and notes.
- How-to: doing something in your shop, step by step, up to 6 steps; such as “how to order” or “how to book”.
- Shop policy: shipping, payment, returns, opening hours, address and contact, or any other rule a customer should know.
While building each card you see a preview of “what the AI reads” — the exact text it is given when answering. A card with only a product name is not saved, because it answers no question.
How a good card is written
- Write the question the way a customer asks it, not the way you would in a formal document. “How long does shipping take?” is found more easily than “order delivery times”.
- One topic per card. One long card explaining shipping, payment and returns together is less useful than three short ones.
- Write the product code exactly as it appears on the story. If the story says “code 110”, the card says 110.
- When a price changes, update the card the same day. The AI only knows what you wrote.
- Do not delete a seasonal or out-of-stock product; pause it, and switch it back on when it returns.
- If Admino warns that you already have a very similar entry, edit that one instead so one question does not have two different answers.
Next to each entry it shows how many times it has been used in answers. An entry unused for months is either about something nobody asks, or phrased differently from how customers ask it. Search and the “active”, “paused” and “unused” filters make these easy to find.
Page analysis: let your page write the knowledge
Writing knowledge from scratch is hard work, especially for a page with hundreds of posts. “Analyse my page”, in this same section, reads your profile and products, the captions of recent posts, the comments you have replied to, and a sample of recent DM conversations, and writes up to 30 knowledge entries from them: products and prices, how to order, shipping and payment rules. If “about your shop” is empty, it writes that too.
A few rules keep this safe. It only writes figures the shop itself stated somewhere; customers’ messages are only used to understand what gets asked, never as a source of prices. It does not rewrite a question you answered yourself. Every entry it creates carries the label “from page analysis; please review”, because it is used in answers immediately. Each run uses 30 credits, and if the run does not get an answer from the model, nothing is charged.
After every analysis, read the list of new entries carefully once. If a price was out of date or a product is no longer sold, correct or pause it right there. Those ten minutes of review are the cheapest insurance you can buy for the quality of your answers.
Answering stories and posts: when a customer sends only a code
On many shop pages most DMs are story replies, and most of those are a single number: the product code written on the story. A keyword rule cannot know which story “110” refers to. Admino’s AI can.
When a customer replies to your story, Admino reads that story once: a summary of the image, the text on it, and any products shown with a code, name or price. That reading is stored, so later replies to the same story cost nothing extra to read. The answer is then written from that story and your shop knowledge. The same happens with the post itself for a comment under a post.
- Only what is visible in the image is read; no price or code is guessed.
- A similar code never stands in for the one asked about. Someone who sent 11 did not ask about 110.
- If a customer asks about a code that is neither on the story nor in your shop knowledge, the AI does not answer and that code appears in the unanswered questions list so you can add its price.
- A post a customer forwards to you from another page is never used as the basis of an answer; otherwise anyone could put a price of their choosing in your shop’s mouth by sending an image.
- If a story cannot be read — a video whose image is not available, for example — the answer comes from your shop knowledge alone.
In the “Knowledge” tab, a section called “stories and posts it has seen” shows what the AI understood from each story. If it misread something, write the correct price in the “products and prices” list.
When it does not know: a short line or silence
Every answering system eventually meets a question it has no answer to. What matters is what it does at that moment. Admino offers two options and the choice is yours.
- Send a short line: a sentence telling the customer their message was seen and will be answered soon. You write it yourself or keep the default that matches your tone.
- Stay silent: the message stays unanswered until you reply yourself in the inbox.
The short line has a few deliberate limits so it never becomes annoying. It is sent only in DMs, never in reply to a comment. Each person receives it at most once in 24 hours. It is not sent for vague messages like “ok” or “thanks”. And if the shop has just replied in that conversation, it does not send another “we saw it”. It uses no credits.
Which should you choose? If you usually reply within an hour or two, the short line takes away the customer’s feeling of being ignored. If you check your inbox less often, silence is more honest, because “we’ll get back to you soon” that turns into tomorrow afternoon is worse than no message at all. Either way the question is logged under unanswered questions.
Tone, must-say and never-say lines, and working hours
In the “Settings” tab you also set the voice of the answers. There are four tones: friendly, formal, warm and upbeat, and very short. Pick the tone of your own captions; a customer who got to know a friendly page is surprised by an office-style reply.
- Lines that must be said: for example “we only ship by express post” or “prices are in toman”.
- Lines that must never be said: for example “discount” if you do not give discounts, or the name of a brand you are not a dealer for.
- Working hours: if you chose “only when I’m away”, hours are counted in your workspace’s time zone, and hours that run past midnight work correctly.
These settings do not get around the safety rules. Your lines describe your business; they cannot make the AI state a price you have not written anywhere. There are also two automatic limits worth knowing: if you have recently replied in a conversation yourself, the AI does not speak in it, so it never talks over you; and it gives each person at most 20 answers a day per page.
The learning loop: activity, unanswered questions and corrections
The difference between a good assistant and an average one does not show in the first week; it shows in the fourth. This feature is built to get a little better every day, provided you spend a few minutes a week with it.
The activity log
Every answer the AI sent is shown next to the question it answered, labelled “in reply to a story” or “about a post” when it related to one. An answer read without its question cannot be judged, which is why the two always sit together. If an answer was so good you want exactly that said every time, you can turn it into a keyword rule from right there.
Why it sometimes did not answer
A message left unanswered on purpose looks like a fault from the outside. So Admino totals the reasons: messages that arrived during your own working hours, conversations you were active in yourself, people who had reached the daily answer limit, running out of AI credits or of the monthly message allowance, and times the AI service was temporarily unavailable.
Unanswered questions
This is the most valuable part of the page. Every question the AI could not answer from your shop knowledge is listed here, with how many times it was asked. One question written two ways counts as one line, and greetings are not counted as unanswered questions. Next to each line there is a “write the answer” button; you write the answer and from that moment it answers that question itself.
Ratings and corrections
You can rate every answer that was sent. If an answer was wrong, Admino asks “what was the right answer?”. Write the right answer and it is learned for that question, so next time that is what it says. Leave it empty and that wrong answer is simply marked, and the AI learns not to repeat that sentence.
Cost: how AI credits are used
Every Admino plan, monthly or annual, includes 20,000 AI credits a month. That allowance is shared between AI replies, this section’s page analysis and Hooshino. Each action is charged like this:
- Each AI answer: 3 credits. So the monthly allowance is roughly 6,600 answers.
- Answering plain greetings and thanks: free, because they are answered with fixed text and no model is called.
- The short “we saw your message” line: free.
- Testing in the try box: free, 5 times a day.
- Each page analysis: 30 credits.
An example: a page with 150 messages a day that pass every rule uses 450 credits a day, roughly 13,500 a month — still under the monthly allowance. If the month’s allowance runs out, purchased credits are used; you buy them from your Admino wallet and they never expire. When both are used up you get a notification and the AI stays quiet until you top up; your keyword rules keep working as before.
One point that is often forgotten: each AI answer is also a message and counts against your plan’s monthly message allowance, exactly like any other auto-reply.
Seven common mistakes, and the right way instead
- Switching it on without knowledge. Without shop information the AI has nothing to say and answers almost everything with “I don’t know”. Knowledge first, then switch on.
- Turning off keyword rules in the hope that the AI will answer everything. Rules are more exact, cheaper and more complete; photos, buttons and forms only come from rules.
- Prices left out of date. The AI says what you wrote. An old price in your knowledge is an old price in the DM.
- Inconsistent codes. If the story says “M110” and the price list says “110”, finding the answer gets harder. Keep one convention for codes.
- Choosing the short line when you take days to reply. “We’ll answer soon” is a promise; if you cannot keep it, choose silence.
- Not reading the unanswered questions list. It is an exact map of the gaps in your knowledge, in your customers’ own words. Once a week is enough.
- Leaving page analysis results unreviewed. Analysis entries are used immediately. Count reading them once as part of the job.
A first-week checklist
- Day one: complete “about your shop” and the price list, and run the page analysis once.
- Day one: review the analysis entries, ask 5 test questions and switch it on.
- Days two and three: read the activity log and teach the right answer for every wrong one.
- Day four: open the unanswered questions list and answer the most frequent ones.
- Day five: if a question has come up more than ten times and its answer must be fixed word for word, build a keyword rule for it.
- Day seven: check the week’s credit use and whether that pace will last the month.

AI replies are not built to replace you or your rules. They are built so that a message no rule answers is not left hanging until you get there, and so that only what the shop itself has said gets said. Can Admino’s AI give a wrong price?
It is only meant to state prices that appear in your shop knowledge, price list, catalogue or captions, and never to guess one. But if an old price is still written somewhere, that is what it will say — which is why keeping your knowledge current and checking the activity log weekly matters.
Does it replace keyword auto-replies?
No. Keyword rules, the welcome message and forms always run first, and the AI only answers when none of them is going to send anything. The best results come from having both.
Does it reply to comments publicly?
No. If you switch it on for comments, it sends the commenter a private DM. Admino never publishes anything under your post on your behalf.
How much does each answer cost?
